Terms of Service

These terms explain how you may use Assisto, what we provide, and the responsibilities that come with using a WhatsApp-first CRM and AI assistant.

1. Who these terms apply to

These Terms of Service apply to your access to and use of Assisto, including our website, web app, WhatsApp workflows, AI-assisted CRM tools, document processing, billing features, and related services. In these terms, "Assisto", "we", "us", and "our" mean the operator of the Assisto service.

By creating an account, connecting WhatsApp, using the service, or continuing to use the service after these terms are updated, you agree to these terms.

2. Your account

  • You must provide accurate account and business information.
  • You are responsible for keeping your login details and devices secure.
  • You must tell us promptly if you suspect unauthorised access to your account.
  • You are responsible for activity under your account, unless caused by our breach.

3. What Assisto does

Assisto helps small businesses manage CRM workflows such as customers, suppliers, quotes, invoices, reminders, receipts, payments, tasks, and WhatsApp-based follow-up. Some features use AI to interpret messages, extract information, draft replies, classify documents, or suggest actions.

Assisto is workflow software. It is not a regulated accounting, legal, tax, financial, or professional advisory service. You remain responsible for reviewing important outputs before relying on them or sending them to customers, suppliers, accountants, banks, or regulators.

4. AI-assisted outputs

Some workflows send limited business context to AI gateways, model providers, transcription providers, OCR providers, or document processing providers so the service can interpret messages, classify documents, draft replies, and carry out requested CRM actions. Our Privacy Policy explains the AI data controls and provider safeguards we use.

  • AI outputs may be incomplete, inaccurate, delayed, or unsuitable for your situation.
  • You must check quotes, invoices, payment reminders, extracted receipt data, and messages before using them.
  • You must not rely on AI output as accounting, tax, legal, financial, or regulated professional advice.
  • We may limit, pause, or change AI features to control abuse, costs, safety risk, or service quality.
  • You must not use Assisto to make decisions that require a regulated professional without appropriate human review.

5. WhatsApp and third-party services

Assisto may connect with third-party services such as WhatsApp/Meta, Stripe, Open Banking providers, hosting providers, database providers, AI providers, and document processing services. Your use of those services may also be subject to their own terms and policies.

We are independent and are not endorsed by WhatsApp or Meta. WhatsApp delivery, message windows, templates, account restrictions, and platform rules may affect how Assisto works. WhatsApp phone numbers, message content, message metadata, verification messages, and delivery events pass through WhatsApp/Meta infrastructure when you connect or use WhatsApp features.

Third-party services may process your data under their own terms, data processing terms, and security controls. For example, WhatsApp/Meta processes messages and delivery events needed for the WhatsApp Business Platform, Open Banking providers process bank connection and transaction data where you connect accounts, and AI providers process the limited prompt or document context needed to return a result.

6. Your data and customer data

You must have the right to upload, send, store, or process any data you provide to Assisto, including customer details, supplier details, phone numbers, WhatsApp messages, receipts, invoices, payment records, and bank data.

Our Privacy Policy explains how we handle personal data. If you use Assisto for business records about your own customers, suppliers, workers, or other contacts, you are responsible for giving them any privacy information and notices required by law.

7. Data processing addendum

This section applies when you use Assisto to process personal data about your own customers, suppliers, workers, contractors, contacts, or other third parties. This may include customer records, invoice and quote data, receipts, uploaded documents, WhatsApp messages, payment information, bank transaction data, and Open Banking data.

For that business content, you are normally the controller and Assisto acts as your processor. We process that personal data only to provide, secure, support, and improve the services you ask us to provide, and only in line with your documented instructions in these terms, the product settings, your use of the service, and any written instructions we agree with you.

The subprocessor list below reflects providers Assisto may use where the relevant feature or infrastructure is enabled in production.

  • Processing details: the subject matter is CRM, messaging, document, invoice, payment, receipt, and Open Banking workflow support; the duration is the period you use Assisto plus any retention period needed for backups, security, legal, billing, or dispute purposes.
  • Categories of data subjects: your customers, suppliers, business contacts, workers, contractors, account users, message recipients, payers, payees, and people appearing in uploaded business records.
  • Categories of personal data: names, contact details, addresses, company details, WhatsApp identifiers, message content, job notes, invoice and quote details, receipt and document text, payment references, transaction details, bank account metadata, AI prompts and outputs, legal consent records, and support records.
  • Confidentiality and security: we use access controls, private storage, encryption where appropriate, rate limits, monitoring, and operational safeguards designed to protect the data processed through Assisto.
  • Subprocessors: you authorise us to use subprocessors needed to run Assisto, including Vercel, Supabase, WhatsApp/Meta, Stripe, OpenAI, OpenRouter, selected model providers routed through OpenRouter where configured, TrueLayer, Plaid, and equivalent hosting, database, storage, Open Banking, AI, document processing, logging, and support providers where used in production. We remain responsible for their processing where required by data protection law.
  • AI provider controls: where Assisto uses AI providers, you instruct us to send only the content reasonably needed to perform the requested workflow. We will not intentionally use your business content to train or improve general-purpose AI models, and production AI requests should use provider controls designed to prevent prompt and completion retention or training where those controls are available.
  • Assistance: taking into account the nature of the service and the information available to us, we will provide reasonable assistance with data subject requests, security obligations, breach notifications, data protection impact assessments, and regulator enquiries.
  • Deletion or return: when the service ends, we will delete or return processor personal data where reasonably requested, unless we need to retain limited information for legal, billing, security, backup, or dispute reasons.
  • International transfers: where personal data is transferred outside the UK or EEA, we will use appropriate safeguards where required, such as adequacy regulations, standard contractual clauses, or equivalent transfer mechanisms.

8. Acceptable use

You must follow our Acceptable Use Policy. You must not misuse the service, attempt to bypass security controls, send unlawful or abusive messages, spam people, upload harmful content, or use Assisto in a way that breaches WhatsApp, payment, banking, or AI provider rules.

9. Trials, subscriptions, and payment

We may offer free trials, usage limits, paid plans, or promotional access. Prices, billing periods, renewal dates, trial details, taxes, and plan limits are shown in the product, pricing page, Stripe checkout flow, or billing portal before you subscribe.

  • Trial limits: unless the product or checkout flow says otherwise, the free trial starts after WhatsApp verification, lasts 14 days, and includes limited use of paid features such as AI chats and receipt scanning. Current default trial allowances are 100 AI chats and 15 receipt scans. We may apply fair-use, rate-limit, anti-abuse, file-size, or feature limits during a trial.
  • Trial conversion: a trial does not create a paid subscription unless you complete the checkout flow or otherwise agree to a paid plan. If a checkout flow says a trial converts automatically, it will explain the price, billing period, renewal date, and cancellation method before you subscribe.
  • Subscription renewal: paid subscriptions renew automatically at the end of each billing period until cancelled. Renewal charges are taken using the payment method on file through our billing provider.
  • Cancellation: you can cancel through the billing portal where available, from the profile billing area, or by contacting support. Unless the checkout flow or billing portal says otherwise, cancellation takes effect at the end of the current paid billing period and you keep access until then, subject to these terms.
  • Refunds and credits: fees are non-refundable except where required by law or expressly stated in the checkout flow. We may offer refunds, credits, or extensions at our discretion, but doing so once does not require us to do so again. A refund does not automatically cancel a subscription unless we confirm that it does.
  • Failed payments: if a payment fails, we or our billing provider may retry the charge, ask you to update your payment method, reduce access, suspend paid features, downgrade your account, or cancel the subscription. You remain responsible for charges already due unless they are waived or refunded by us.

10. Availability and changes

We aim to keep Assisto reliable, but we do not guarantee uninterrupted or error-free service. We may update, improve, suspend, limit, or discontinue features. We may also carry out maintenance, security fixes, or emergency changes without notice where needed.

11. Suspension and termination

We may suspend or terminate access if you breach these terms, create security or abuse risk, fail to pay, misuse integrations, or use the service in a way that may harm Assisto, other users, third-party providers, or the public. You may stop using Assisto at any time.

12. Liability

Nothing in these terms limits liability where it would be unlawful to do so. To the fullest extent permitted by law, Assisto is provided on an "as is" and "as available" basis, and we are not liable for indirect losses, lost profits, lost revenue, lost goodwill, or losses caused by your failure to review outputs, maintain backups, or comply with third-party rules.
